Intelligent Document Processing
Invoices, forms and contracts read automatically, checked against your rules and passed to the next system.
Discuss Your ProjectIn plain terms
This is software that reads documents the way a clerk does. It works out what a document is, reads the numbers and names off it, checks them against what you expect and enters the result in your system. If it is not sure, it shows the page to a person. We came to this from document scanning and OCR, so the capture side is familiar ground.
Does this sound familiar?
- Invoice and order entry is slow, and mistakes find their way into finance
- Every supplier uses a different layout
- Nobody can see which documents are stuck, or why
A typical scenario
A building supplies wholesaler
Before
Hundreds of supplier invoices arrive each week as PDFs and photos. Two people in accounts type them in, then chase the purchase order if something does not match. Month-end is a scramble and the occasional invoice is paid twice.
After
Invoices are read when they arrive and matched to the purchase order. Most match and go straight to approval. The rest appear on a screen with the problem highlighted: a wrong total, a missing order number, a duplicate. Accounts spend their time on the exceptions.
How we deliver it
From first call to running
- 1
Collect samples
We gather a few hundred of your real documents, including the awkward ones.
You get: A sample set and a list of the fields and rules that matter
- 2
Test the reading
We run them through and measure how many fields are read correctly.
You get: Accuracy by field and by supplier
- 3
Add your rules
Matching to orders, duplicate checks, VAT and totals.
You get: A rules document you can read and change
- 4
Review screen and posting
Exceptions go to a person. Clean items are posted to your finance system.
You get: A working end-to-end process on a few suppliers
- 5
Widen and monitor
We add suppliers and document types as accuracy allows.
You get: Reports on volumes, exceptions and time taken
What we need from you
- A few hundred sample documents
- Access to the finance or case system, or to its API
- The rules your team applies by eye today
- Someone to review exceptions during testing
Where it works best
- High volumes of similar documents
- Many layouts, which defeat fixed templates
- A clear destination system
Worth sorting out first
- A few documents a week: start with your highest-volume document type
- Poor scans or handwriting: expect more manual review at first, and better scanning improves it
- Documents with no consistent structure: agree the checks the reader should apply, so there is something to validate against
How we work with you
A fixed-price pilot on your highest-volume supplier or document type, then monthly support as you extend it. The document-reading service itself is billed by the provider by page.

Questions
How accurate will it be?
That depends on your documents, so we measure it on a sample of yours before launch and do not quote a number up front. Anything below the confidence threshold goes to a person.
Does it cope with handwriting?
Sometimes. Neat handwriting on a clean form is usually fine. A faint photocopy of a handwritten note is a different matter. We test early so you know where you stand.
Will it work with our finance system?
If it has an API or an import route, yes. If not, we can often work through a file import, which is slower to set up but works.
What about confidential documents?
Documents are processed inside your own Azure subscription where possible, access is restricted, and we agree how long anything is kept with you.
