An AI agent is software that does a routine job from start to finish. For example, when a supplier emails to say a delivery will be late, the agent reads the message, finds the order, updates the expected date in your system, warns the customers waiting on it and tells your buyer only if a promised date is at risk. Anything it is unsure about goes to a person.

Before
Two people in sales admin spend the first hour of every day reading the shared mailbox. They work out whether each message is a quote request, an order change, a complaint or spam, look the customer up in the order system and forward it to the right person. Urgent ones are sometimes found too late.
After
Messages are read as they arrive. Each is tagged, matched to the customer and their open orders, and passed to the right person with a one-line summary and a draft reply. Complaints and anything unclear are flagged for a person first. The admins check drafts instead of sorting mail.

We run the agent over a few hundred past messages and compare its choices with what your staff did.

For a few weeks it works in suggestion mode. Staff see its drafts and approve or reject them.

- Access to the mailbox and systems it will read, usually read-only at first
- A few hundred examples of past work and how each was handled
- One person who knows the process and can answer questions
- A decision on what it must never do on its own

Questions
Can it email customers without anyone checking first?
It can, if you want that. Most people start with drafts that a person approves, then relax the rules for the simple cases once they have seen how it behaves. Anything you rule out stays ruled out.
What if it gets something wrong?
It will sometimes. That is why a person approves everything at first, and why every action is logged. If a mistake gets through, you can see exactly what it did, and we change the rule so it cannot happen the same way again.
Which of our systems can it connect to?
Anything with an API, a database we can read, or a mailbox. For older systems with none of those, we can sometimes work through files or put a small API in front of them.
What does it cost to run?
Model usage is usually small compared with the staff time saved, but it depends on volume and which model you choose. We estimate it on your real numbers during the pilot.
